Reserve a Public Field or Recreation Facility

To reserve a field or recreation facility please review the following policies, and complete the appropriate application and forms. If you have any questions, please contact Topsfield Recreation Coordinator Stephanie Bilotti at 978-887-0335.

FIELDS/FACILITIES COVERED BY THESE POLICIES

  • Klock Park: soccer fields, baseball field, and softball field.
  • Pye Brook Park: all baseball and softball fields, multi-purpose fields, paddocks, and disc golf course.
  • Proctor School: baseball field, softball field, basketball court, and tennis courts.
  • Steward School: tennis courts (currently closed to the public).
  • Topsfield Common: common green space and gazebo.

FOR A SPECIAL ONE-TIME EVENT

  1. Read and Review the Fields/Facilities General Use and Reservation Policies
    1. If reserving the Town Common, read and review the Common and Gazebo Reservation Use Policies
  2. Complete the 2023 Fields/Facilities Reservation Application
  3. Complete the Receipt of Policy Statement for Special Events/Other Requests
  4. Include payment for field use. (Topsfield residents $20/hour, non-residents $30/hour.)
  5. Submit all forms to the Recreation Department via email or in person at Town Hall. Payments can be mailed to: Topsfield Town Hall, Recreation Department, 8 West Common Street, Topsfield, MA 01983.

FOR REOCCURRING USE BY ATHLETIC LEAGUES OR ORGANIZATIONS 

  1. Read and Review the Fields/Facilities General Use and Reservation Policies
  2. Complete the 2023 Fields/Facilities Reservation Application
  3. Complete the Receipt of Policy Statement for Sports Leagues/Organizations
  4. Provide a certificate of insurance in an amount no less than $1,000,000.00. Name the "Town of Topsfield, 8 West Common Street, Topsfield, MA 01983" as an additional insured and loss payee In the "Description of Coverage". Specify the desired field of use as being covered. An “X” or “Y” should be listed under the additional insured column for "General Liability".
  5. Criminal Offender Record Information (CORIs) must be completed for all sport league coaches and volunteers, or youth programs reserving a field/park. Please submit in writing on your organization’s letterhead, a letter providing a list of all staff, volunteers and coaches that had a CORI completed. This letter must be signed by your organization’s president. Staff, volunteers and coaches will not be allowed to assist with your program until a CORI has been completed. 
  6. Provide a copy of all team rosters as well as any practice/game schedules that require use of the field being reserved.
  7. Include payment for field use in the amount of $10 per player. This fee goes toward mowing, lining, portable toilets and other general maintenance. Note: some sports may be charged additional fees due to field reconstruction requirements.
  8. Submit all completed and signed forms to the Recreation Department via email or in person at Town Hall. Payments can be mailed to: Topsfield Town Hall, Recreation Department, 8 West Common Street, Topsfield, MA 01983.

Town fields and parks are open to the public for use during park hours, but a legally issued permit does take priority over any public use for the field or facility reserved. These policies have been formed to ensure the safety of participants and prevention of long term, irreversible damage to the park, field and/or facility as well as the fair allocation of available field/facility space.
